Our Commitment

We use commercially reasonable efforts to implement security measures that are designed to avoid accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access to personal data. We adhere to hospital-level security policies and procedures to protect sensitive user data, adhering to the HIPAA rules, including the Privacy and Security Rules.

  • Using cloud-enabled infrastructure designed to reduce our data footprint
  • Encrypting all personal data at rest and in transit
  • Securing sensitive personal data in a dedicated environment in a manner designed to ensure segregation and clear access control
  • Using technical network controls like multi-factor authentication and deny-all/allow-by-exception in a manner designed to maintain controlled access
  • Conducting and responding to penetration tests, vulnerability assessments, code reviews, and internal compliance reviews
  • Maintaining our business continuity, disaster recovery, and incident response plans
  • Allowing employees to access personal data only if required in connection to their job duties

Organizational Security

Informational Security Program
We have an Information Security Program in place that is communicated throughout the organization. Woebot Health adheres to hospital-level security policies and procedures to protect sensitive user data. Procedures for the anonymization and transmission of personal data adhere to the standards required by GDPR and HIPAA.

Third-Party Audits
Our organization undergoes independent third-party assessments to test our security and compliance controls.

Third-Party Penetration Testing
We perform an independent third-party penetration at least annually to ensure that the security posture of our services is uncompromised.

Roles and Responsibilities
Roles and responsibilities related to our Information Security Program and the protection of our customer’s data are well defined and documented. Our team members are required to review and accept all of the security policies.

Security Awareness Training
Our team members are required to go through employee security awareness training covering industry standard practices and Information security topics such as phishing and password management.

Confidentiality
All team members are required to sign and adhere to an industry standard confidentiality agreement prior to their first day of work.

Background Checks
We perform background checks on all new team members in accordance with local laws.

Cloud Security

Cloud Infrastructure Security
All our services are hosted with Amazon Web Services (AWS) and Google Cloud Platform (GCP). They employ a robust security program with multiple certifications. For more information on our provider’s security processes, please visit AWS Security and GCP Security.

Data Hosting Security

  • All of our data is hosted on Amazon Web Services (AWS) and Google Cloud Platform (GCP) databases. These databases are all located in the United States. Please reference the vendor specific documentation linked above for more information.
  • We secure personal data in a dedicated environment and maintain strict controls around who and what can access this data. 

Encryption at Rest
All databases are encrypted at rest.

Encryption in Transit
Our applications encrypt in transit with TLS only.

Vulnerability Scanning
We perform vulnerability scanning and actively monitor for threats.

Logging and Monitoring
We actively log and monitor security and audit events in our cloud services.

Business Continuity and Disaster Recovery

  • We use our data hosting provider’s backup services to reduce any risk of data loss in the event of a hardware failure. 
  • We utilize monitoring services to alert the team in the event of any failures affecting users.
  • We have a written Business Continuity and Disaster Recovery Plan that is practiced on an annual basis.

Incident Response

  • We have processes for handling information security events which includes escalation procedures, rapid mitigation and communication.
  • We have a written Incident Response Plan that is practiced on an annual basis.

Access Security

Permissions and Authentication

  • Access to cloud infrastructure and other sensitive tools are limited to authorized employees who require it for their role. 
  • Where available we have Single Sign-on (SSO), 2-factor authentication (2FA) and strong password policies to ensure access to cloud services are protected.

Least Privilege Access Control
We follow the principle of least privilege with respect to identity and access management.

Quarterly Access Reviews
We perform quarterly access reviews of all team members with access to sensitive systems.

Password Requirements
All team members are required to adhere to a minimum set of password requirements and complexity for access.

Password Managers
All company issued laptops utilize a password manager for team members to manage passwords and maintain password complexity.

Annual Risk Assessments
We undergo at least annual risk assessments to identify any potential threats, including considerations for fraud.

Vendor risk is determined and the appropriate vendor reviews are performed prior to authorizing a new vendor.

User Responsibility

While security cannot be 100% guaranteed, we put forth best efforts to protect your personal data while using Woebot. Users can also help protect themselves from unwanted activities.

Safeguard your personal data
You are responsible for safeguarding your device, email, and password to protect your personal data. For best practices, see the US Federal Trade Commission (FTC) guides: How To Protect Your Privacy on Apps, Online Security, and How to Keep Your Personal Data Secure. Some best practices we would like to highlight, especially when using mobile applications:

  • We recommend only sharing what you feel comfortable with sharing
  • When possible, avoid entering personally identifiable information or use anonymized information
  • Configure privacy settings for each mobile application from the mobile device settings, such as cross application tracking and location services and what access you allow for your applications 
  • Utilize a strong password that you do not use with other accounts
  • Lock your mobile device by setting a password and automatic lock
  • Only use verified and secure internet access points when accessing applications and entering personal data you wouldn’t want to be public
  • Update your operating system and apps to ensure security patches are installed
  • Install software on your mobile device to protect against attacks and infections
  • Stay vigilant against malicious phone calls, emails and text messages. Do not click on links, open attachments, or download anything that you don’t know who or where it came from. Always verify the source of the phone call, email, or text message with a known communication channel.

Protect children’s personal data
The services are not directed to children (defined as under the age of 13 or another age as required by local law), and we do not knowingly collect personal data from children. If you learn that your child has provided us with personal data without your consent, please Contact Us. If we learn that we have collected a child’s personal data in violation of applicable law, we will delete that personal data (unless we have a legal obligation to keep it) and close the child’s account.

We do not endorse, screen, or approve, and are not responsible for, the security practices or content of such other websites or applications. Providing personal data to third party websites or applications is at your own risk.
